Email Journal Archival Retention Policies

 

One of four standard Journal Retention Policies (JRPs) may be selected with the Journal Service, and JRP0 is applied by default.

 

Retention settings are assigned to each journal email so that deletion can only occur against items with expired retention periods. No individual emails can be deleted from the Journal Store, by any means, before the retention period in the policy has expired, even if the enabled Cobweb Hosted Exchange Mailbox is deleted.

 

In this way, retention policies can be used to meet data protection and email retention compliance requirements.

 

Organisations specify the required Journal Retention Policy at the time the service is enabled from the following options:

Email is kept indefinitely; there is no fixed

Emails kept for a minimum of 1 year

Emails kept for a minimum of 3 years

Emails kept for a minimum of 7 years

 

Data ownership

At all times the data stored within the Journal Store is the property of the Customer.

 

In the case of service termination the data can be provided to the Customer on DVD or other portable digital media subject to the relevant Chargeable Support Service fees plus any applicable data retention charges.
